  1. File Reading: The FileReader API reads your Excel file as an ArrayBuffer. No data is transmitted to any server.
  2. Workbook Parsing: SheetJS's XLSX.read() method parses the binary or XML format of your .xlsx, .xls or .csv file into an in-memory workbook object containing all sheets, cell values, formatting metadata and named ranges.
  3. Sheet Selection: Your workbook's sheet names are displayed as clickable tabs. You select which sheets to include. Sheets are processed in the order they appear in your workbook.
  4. Data Extraction: For each selected sheet, SheetJS's sheet_to_json() with the header:1 option extracts all rows as arrays, preserving cell values as formatted strings.
  5. PDF Page Layout: pdf-lib creates a new PDF document at your chosen page dimensions. For each selected sheet, a header with the sheet name is drawn, followed by rows of cell data rendered using pdf-lib's drawText() method at your chosen font size within the specified margins.
  6. Pagination: When cell rows exceed the available page height, new PDF pages are added automatically with the sheet header repeated for continuity.

Tips for the Best Excel to PDF Results

  • Use Landscape for wide sheets: If your spreadsheet has more than 8 columns, landscape orientation typically fits more data per page than portrait, reducing page count and improving readability.
  • Use 9pt font for data-dense sheets: Smaller font size allows more columns and rows per page. At 9pt, most modern spreadsheet data remains perfectly legible in PDF.
  • Deselect non-essential sheets: For workbooks with helper sheets, raw data tabs, lookup tables or calculation worksheets, deselect these before converting. Include only the sheets you want recipients to see.
  • Use Narrow margin for wide tables: Narrow margins maximise the horizontal space available for columns, which is particularly important for sheets with many columns that would otherwise overflow the page width.

Is my Excel data sent to any server?
No. Your Excel file is read and converted entirely inside your browser using SheetJS and pdf-lib. No data is transmitted anywhere. This is critical for spreadsheets containing financial data, payroll records, client pricing and other confidential business information.
Does the PDF preserve Excel formatting like colours and fonts?
Our browser-based tool renders cell values and grid structure. Cell background colours, font colours, bold/italic, merged cells, borders and embedded charts are not preserved in the current version. For full visual fidelity including all Excel formatting, use Excel's built-in Export to PDF feature (File > Export > Create PDF/XPS on Windows, or File > Print > PDF on Mac).
Can I convert only specific sheets from a multi-sheet workbook?
Yes. After uploading, all sheet names appear as clickable tabs. Click any tab to toggle it between included and excluded. The preview updates to show data from whichever tab you click. Only the selected sheets are included in the final PDF output.
What file formats are supported?
We support .xlsx (Excel 2007 and later, Office Open XML), .xls (Excel 97-2003 binary format) and .csv (comma-separated values). All three are parsed by SheetJS. We do not support .ods (OpenDocument Spreadsheet), .numbers (Apple Numbers) or Google Sheets files directly — export these to .xlsx first and then use our converter.
Why are some columns cut off in the PDF output?
Column overflow occurs when the total width of all columns exceeds the available page width. To fix this, try: switching to Landscape orientation, selecting a smaller font size (9pt), switching to A3 page size, or choosing Narrow margin. For very wide spreadsheets with 15 or more columns, use Excel's native PDF export which has more sophisticated column-width scaling algorithms.
Does the tool handle Excel formulas?
Yes — formula results are rendered, not the formula syntax. SheetJS reads the cached calculated values stored in the .xlsx file by Excel. This means your SUM(), VLOOKUP(), IF() and other formula results appear as their computed values in the PDF, exactly as they appear in Excel. The underlying formula logic is not visible in the PDF output.
Is there a row or column limit?
There is no hard limit. The practical constraints are your device's available RAM and processing time. Sheets with thousands of rows convert successfully — they simply produce multi-page PDFs. For extremely large workbooks (100,000+ rows), the conversion may take 15 to 30 seconds. SheetJS has been tested with Excel files up to the maximum sheet limit of 1,048,576 rows.
What is the best page size for printing the PDF?
A4 is standard in Europe, Australia, Asia and most of the world. US Letter is standard in the United States and Canada. A3 is useful for very wide spreadsheets or when you want to fit more columns per page at a readable font size. Legal is a US format used in legal and government contexts. Match your PDF page size to the paper size your printer is loaded with to avoid scaling artefacts when printing.
